Version 1.1 · 1 November 2026
1. What Calcutab is
Calcutab is a hosted service for recording engineering effort by day and by product, and reporting it as capital and operating expenditure. It is provided by the operator named in the order form ("we"). The organisation that signs up is the customer ("you"); the people you invite are your users. People you record by name without a login are not users: they cannot sign in, and your managers log their time.
2. Your account and workspace
You are responsible for who you invite, what access level you give them, and what they do while signed in. Sign-in is normally by Google or Atlassian account, in which case we hold no password for you at all.
Where your organisation has neither, we can enable sign-in with an email address and a password. We then store that password only as a salted scrypt hash, never in a form we or anyone else can read back, and an account stops answering for fifteen minutes after eight consecutive failed attempts. You must tell us without delay if you believe an account has been compromised.
3. The service
We will provide the service with reasonable skill and care, and keep it available except for maintenance and events beyond our reasonable control. We do not currently commit to a specific uptime or recovery time. Health and error alerting are in place; a status page is not.
4. Your data
You own the data your users enter. We process it only to provide the service, on your instructions, as set out in the Data Processing Agreement. We will not use it to train models, sell it, or share it except with the sub-processors listed in that agreement.
You warrant that you have a lawful basis to record your employees' working time in this way and that you have told them.
5. Fees and seats
Fees are per seat, where a seat is one active user, at the rate in your order form. A workspace over its seat count cannot add people until it is within it; nothing already recorded is ever removed for that reason. Invoices are payable within 30 days.
People recorded without a login hold no seat and are not charged for. Their data is covered by section 4 and the Data Processing Agreement like any user's, and telling them their time is recorded is yours to do.
6. Your obligations
You will not attempt to access another customer's workspace, probe or test the service's security without our written agreement, or use it to store data it is not designed for (it is a timesheet, not a document store).
7. Termination
Either party may end the agreement on 30 days' written notice. On termination you may export your data as CSV at any time before the end of the notice period. We delete your workspace 30 days after termination, and its backups expire on the schedule in the retention statement.
8. Liability
Neither party is liable to the other for indirect or consequential loss. Our total liability in any twelve-month period is limited to the fees you paid in that period. Nothing limits liability that cannot lawfully be limited.
9. Law
These terms are governed by the law of the Federal Republic of Germany, excluding its conflict-of-law rules and the UN Convention on Contracts for the International Sale of Goods. The courts of the operator's registered seat, as stated in the order form, have exclusive jurisdiction, except that either party may seek injunctive relief wherever necessary to protect its rights.
Nothing here removes a consumer's right to the protections of their own country's law where that law applies regardless of agreement.
